Import Your Student List Without Fixing Rows by Hand

2026-10-16 · 4 min read · SMS

Start with the template

Do not build the file from scratch. Go to Import / Export and download the template — it has the right columns and a filled example row so you can see the format.

Fill in your students below the example, keeping the same columns. One student per row. Save the file and upload it back.

  1. Open Import / Export from the sidebar.
  2. Download the student template.
  3. Fill in your students and upload the file.

What the error report does

SMS checks every row before it saves anything. If a row has a problem — a missing name, a duplicate code, a class that does not exist — it is listed in the error report with the reason, in plain words.

Valid rows still go in. This is called partial success: one bad row does not throw away the other 199 good ones.

Fix only the flagged rows

Read the error report, fix just those rows in your file, and upload again. SMS skips the students that are already in, so re-uploading is safe — you will not get duplicates.

If a student appears twice in your file, the second row is flagged. If a student's code already exists in your account, that row is flagged too. Both are easy fixes.

  • Missing name or class — fill it in and re-upload.
  • Duplicate in the file — keep one row, delete the other.
  • Code already used — give the student a different code, or leave the code blank and let SMS assign one.

After the import

Open Students and check the new names. Each imported student gets a permanent code and a record that follows them across sessions — the same as a student you add by hand.

Import is a Pro and Max feature. On the Free plan, add students one by one with the New student form — it takes the same details.

A note on photos

Import handles names, codes, classes, and contact details. Photos are added later, one student at a time, from the student's own page.

Full steps with pictures: User guide. For the other way in — adding one student by hand — the same guide section covers the 3-step form.
